HINDON ORGANIC FARM ACCOMMODATION

Arrival & Departure Policy

Guests can arrive at any time after 16:00 on the day of arrival . Any guest(s) anticipating a late arrival are asked to please inform us by telephone as soon as possible (our contact details can be viewed here). Guests can arrive at any time after 4pm. On arrival guests must read the Welcome Folder supplied in both the main farmhouse and the self catering holiday cottage, this document contains important information all visitors should be aware of. Guests are requested to vacate accommodation by 10:00am on the morning of departure. Thank you.

Booking & Payment Policy

A guest booking for accommodation at Hindon Organic Farm may be submitted by post, email, online, or telephone. The easiest and most direct method is online, but many guests prefer to talk to the property owner – please do .

Bookings of accommodation
To place a booking prior to commencement of accommodation the total cost of the B&B accommodation will be payable – or for the s/c Cottage if less than 56 days prior to holiday date – 50% deposit if more than 56 days before holiday date 100% payment if less than 56 days.

When booking online (using our website booking system) this amount is paid upon booking. When not booking online, full payment must be received within 3 working days of the date the provisional booking was placed. Full payment from non-UK residents must be received within 5 working days.  No booking is confirmed unless paid for.

No extra correspondence are made after booking is made if guests require more confirmation or have any questions please email or phone.

IMPORTANT:
Where payment is not received within the above specified timescale(s) the management at Hindon Organic Farm reserve the right to offer the accommodation to other interested parties. No bed & breakfast or cottage accommodation shall be considered reserved until  payment is made –  confirmation of the booking online is an email payment notification, should guests require more confirmation do please call or email- or if there are any further questions we will be happy to help.

The number of people occupying a room(s) or cottage shall not exceed the number stated upon booking.  Should residing guests wish to entertain visitors whilst staying please contact Penny  to discuss – and we reserve the right to restrict numbers. The cottage and B&B are for a maximum of 6 persons per property to stay.

NO transference of booking to other parties is allowed.

Cancellation Policy

In the event of any cancellation, or part cancellation, or failure to arrive by any or all of the guests, on the agreed date, for whatever reason including illness, a cancellation charge will be levied – please note Hindon Organic Farm will endeavour to re-let the accommodation for the period of the cancellation but if any part of the cancelled visit is not re-let a charge will be levied in respect of the entire cancellation period. In all instances notice of cancellation must be in writing or email and will be considered effective from the date of receipt by Hindon Organic Farm.

The basis of calculating the cancellation charge will be based upon the type of accommodation booked and will be levied as follows:

  • Self Catering –  deposit is non refundable –  or full payment if booking cancelled less than 56 days from holiday start date unless re let .
  • Bed & Breakfast – 100% of full payment – no refunds on cancellation of booking.

Hindon Organic Farm will endeavour to re-let the accommodation for the period of the cancellation but if any part of the cancelled period is not re-let a cancellation charge will be levied in respect of the entire cancellation period . In the case of goods, services, meals or drinks that are offered as part of a package and remain untaken, no allowance refund or alternative will be made.

It is strongly recommended that guests take out Cancellation Holiday Insurance; however the purchase of holiday insurance is not obligatory.

Damage Policy

At Hindon Organic Farm significant time and care is spent in preparing our accommodation to welcome guests in a clean and orderly condition. The hirer undertakes to keep the accommodation and all furniture, fixtures and fittings in the same state of repair and condition as at the time of arrival and to leave the accommodation clean and tidy in fact as they found it . The cost of any damage or breakages, or in the event of extra cleaning required , however caused (excluding reasonable wear and tear caused doing occupation) must be paid to the owner(s) at Hindon Organic Farm upon request .

The owner(s) shall be allowed access to the accommodation at any reasonable time if it is deemed necessary by the owner. The hirer agrees not cause disruption (audible or otherwise) to other guests or the owner(s) of Hindon Organic Farm, and to undertake the supervision at all times of all children, infants, pets, and any adults requiring care.

Farm Safety & Animals Policy

Guests are asked to appreciate that Hindon Organic Farm is very much a working farm, and as such has some ‘no go’ areas where guests are not permitted for their own health and safety. Guests also asked to respect the areas reserved for the owner’s private use and that some facilities are not for guests use. Please ask if unsure.

Guests are welcome to wander the designated farm trail and watch the ducks, and pigs etc. However guests are reminded that farm animals can be unpredictable and are strongly advised to exercise caution and common sense at all times when in the presence of farm animals.

Children must be supervised at all times.

Faults & Complaints Policy

Any faults or complaints must be reported to the owners at Hindon Organic Farm. Any complaints received after the event will not be accepted.

In the event of any major failure of any equipment, property or utilities, this will be dealt with as speedily as possible. The management cannot be held responsible for any inconvenience caused. All equipment and property is maintained on a regular basis. Any faults or complaints must be reported to the owners at Hindon Organic Farm at the time of occurrence. If, in the opinion of the hirer, there are grounds for complaint it is the duty of the hirer to inform the owners as soon as possible to allow remedial action to be taken as deemed necessary by the owners. In the event of establishment of any major failure of equipment, property or utilities, this will be dealt with as speedily as possible. It is specifically agreed that any failure by the hirer to notify the owner of any complaint in accordance with these terms will entitle the owner to refuse to entertain the complaint.

Liability Policy

The owner(s) at Hindon Organic Farm cannot accept responsibility for any persons or property, or material loss, damage, additional expense or inconvenience directly or indirectly caused by, or arising out of, the property, or loss or damage to vehicles & contents. Whilst the owner(s) at Hindon Organic Farm make every effort to ensure the property descriptions are as accurate as possible, these are inevitably subjective and are for guidance only. The hirer takes full responsibility for choosing the property on booking. If there are any points of importance you wish confirmed please ask the owner(s) before booking. The owner(s) reserve the right to alter, substitute, or withdraw any facility or amenity as deemed necessary. The owner(s) reserve the right to refuse a booking.

Non Smoking Policy

Smoking is strictly forbidden within any area inside or out at Hindon Organic Farm whatsoever. Please note that any offending guests will be asked to leave immediately and will be liable for professional cleaning of the affected room or property.

Payment Policy

Payments are accepted online booking system with a card or Paypal also by paying into Bank Account on line direct –  please contact Penny to receive details of this should you wish to pay direct by BACS – we also accept cash, or cheque accompanied by a valid cheque guarantee card or by debit card. All cheques should made payable to ‘Mrs P M Webber’.

Regretfully, Hindon Organic Farm cannot accept payments by debit or credit card in person, all though they can be used to book on  the online system.

Pets Policy

Well behaved pets & friendly are permitted at Hindon Organic Farm by prior arrangement only – at costs as detailed in our tariff and prices documentation.

All dogs, cats, and horses must have been wormed at least four days prior to guest(s) arrival. Dogs must be friendly to humans and other dogs – kept under close control by lead in all exterior farm yard areas and must never be allowed into any fields containing farm livestock (e.g. cattle, pigs and sheep). Poultry roam free range on the farm so please keep dog/s close.

Guests must ensure their dog(s) do not foul garden or lawn areas, pick up all dog mess bag it and put in outdoor bins.

Please ensure all dogs are not ‘in season’ , & are kept off all furniture and beds, and to respect our own dogs that live at Hindon Organic Farm.

Any visiting pet(s), and their subsequent behaviour, are the owner’s responsibility at all times.

Any damage by pets – must be reported to Hindon Farm in person whilst staying, and of course there will be additional charges made that guests will pay before departure.

Penny’s note –   in 28 years of offering accommodation for dogs – they have mostly been lovely to have and enjoyed the walks direct from the door only  3 dogs caused damage –                         1 ate 3 ducks !!! 1 scratched a door  and 1 disgraced itself on furniture – all owners paid for the damage,  but the stress and upset it caused is avoidable so please if you cannot 100% trust or control your dog/s do not bring them to stay.

Termination Policy

Hindon Organic Farm reserves the right, at its discretion, to terminate without notice an individual’s stay where deemed necessary through unacceptable behaviour or as a result of actions which are likely to endanger or offend others. Non-compliance of our strict non-smoking policy would constitute termination; any offending guests will be asked to leave immediately and will be liable for professional cleaning of the affected room or property. In any of the above stated such circumstances the outstanding account must be settled immediately, no refunds will be made.
